Surgical Coordinator – Surgical Suite

Established in 1993, TJH Medical Services, PC is a prominent physician network affiliated with Jamaica Hospital Medical Center and Flushing Hospital Medical Center. The Surgical Suite at our Jamaica location offers a range of surgical services, including general and thoracic surgery, supported by a team of experienced medical professionals. ​

Position Overview:

We are seeking a detail-oriented and compassionate Surgical Coordinator to oversee the scheduling and administrative functions related to outpatient surgical procedures at Jamaica Hospital and Flushing Hospital Medical Center. This role is pivotal in ensuring seamless coordination between patients, surgeons, and hospital departments, facilitating efficient surgical preparations and patient care. ​

Key Responsibilities:

Surgical Scheduling & Coordination:

  • Schedule outpatient surgical cases, ensuring all necessary authorizations, pre-admission testing, and medical clearances are obtained. ​
  • Coordinate with operating rooms, admitting, nursing, and anesthesia departments to synchronize all aspects of patient care. ​
  • Maintain and update surgical logs, surgical boards, and physician calendars. ​
  • Confirm surgery dates and times with patients, providing clear instructions and addressing any questions. ​

Patient & Administrative Support:

  • Verify patient demographics and insurance information. ​
  • Review surgical packets with patients, ensuring comprehension of all enclosed paperwork and preoperative requirements. ​
  • Scan and document surgical authorizations and insurance booking forms in the patient’s electronic medical record (EPIC).​
  • Assist with answering phone calls and scheduling patient appointments. ​
  • Arrange peer-to-peer reviews with physicians when required. ​

Equipment & Postoperative Coordination:

  • Liaise with medical equipment vendors to ensure all necessary equipment is available before surgery. ​Coordinate postoperative care under the direction of the physician. ​

Requirements

Education:

  • High school diploma or GED required. ​
  • Associate’s or Bachelor’s degree in healthcare administration, nursing, or a related field preferred. ​

Experience:

Minimum of 1–2 years in a clinical or medical office setting, preferably in surgical coordination. ​
Familiarity with medical terminology, insurance verification, and hospital scheduling systems. ​
Skills & Abilities:

  • Strong organizational skills with the ability to manage multiple tasks efficiently. ​
  • Excellent communication and interpersonal skills to engage with patients, families, and medical professionals. ​
  • Attention to detail for managing surgical records, patient files, and insurance documentation.
  • Problem-solving abilities to handle scheduling conflicts and unexpected changes. ​
  • Experience with EPIC or similar electronic medical record (EMR) systems is a plus. ​

Certifications (Preferred but Not Required):

  • Certified Surgical Technologist (CST) or Certified Medical Administrative Assistant (CMAA) is a plus.)​
