ADMINISTRATIVE ASSISTANT – BIOMEDICAL ENGINEERING & ASSET MANAGEMENT

Full-Time | Salary Range: $55,000 – $65,000 (based on experience)

Jamaica Hospital Medical Center is seeking a highly organized and proactive Administrative Assistant to support the Biomedical Engineering & Asset Management Department.

The Biomedical Engineering & Asset Management (BEAM) department—also known as Clinical Engineering or Healthcare Technology Management—supports the full lifecycle of medical equipment across the hospital, ensuring all devices are safe, operational, and compliant with regulatory standards.

Position Overview

This role provides direct administrative support to department leadership and plays a key role in maintaining the efficiency of a fast-paced, technical hospital environment.

Key Responsibilities

  • Provide administrative support to the Director and Assistant Director
  • Manage calendars, meetings, calls, visitors, and vendor interactions
  • Serve as department timekeeper and maintain employee records and archives
  • Process purchase orders for parts and equipment; maintain accurate documentation
  • Utilize Computerized Maintenance Management Systems (CMMS) for equipment tracking and inventory
  • Coordinate vendor communication and service documentation
  • Prepare, scan, file, and organize departmental records
  • Order and manage office supplies
  • Support day-to-day departmental operations

Requirements
  • High School Diploma required; Associate’s or Bachelor’s degree preferred
  • Minimum 3–5 years of administrative experience (healthcare or technical environment preferred)
  • Proficiency in Microsoft Excel and Word
  • Experience with CMMS or asset management systems preferred
  • Strong organizational, multitasking, and communication skills
  • Ability to handle confidential information with discretion
