OFFICE MANAGER

Ortho Medisys is looking for a full-time Office Manager to lead our Woodside Orthopedic Surgery Office. Our Department consists of 8 board-certified and fellow-trained Orthopedic Surgeons who are affiliated with Jamaica Hospital Medical Center, Flushing Hospital Medical Center, and NYU Langone Health. The Office Manager will respond directly to the Administrator of the department.

ROLES AND RESPONSIBILITIES:

  • Manage the day to day operations of the medical practice; ensuring efficient and smooth workflow.
  • Maintains a thorough understanding of Orthopedic Surgery procedures, treatments, and medical terminology.
  • Ensures front desk and clinical in-baskets are maintained and open encounters are closed within a timely manner.
  • Supervise all front-end office functions, such as scheduling, registration, insurance verification, referrals, authorizations, and, payment posting.
  • Ensure adequate staff coverage for all administrative duties and monitor performance of practice personnel to maintain practice standards of accuracy and patient care.
  • Collaborate with external vendors, insurance companies, referring physician offices and other stakeholders to facilitate smooth operations.
  • Monitor all work queues for completion as they apply to practice operations.
  • Run and keep track of office volume for each physician, which consists of all complete visits and no shows.
  • Oversight of sites' cleanliness, safety and operations according to practice standards. Escalates any issues to the correct person or department and ensures follow through.
  • Serve as a liaison between healthcare providers, staff, and patients to facilitate effective communication and resolve any issues or concerns.
  • Oversee inventory of supplies and equipment; work with purchasing team to place routine orders; and serve as a point of communication with external vendors
  • Directly assist patients with escalated requests or concerns. Serve as a patient advocate regarding issues of billing and patient experience; including following up on Q reviews and patient complaints.
  • Coordinate staff training and communication of policies and procedures; train new staff, and keep staff educated on new or updated changes in the department and hospital.
  • Manage and process payroll on a bi-weekly basis
  • Conduct meetings/huddles with staff to ensure consistent transfer of information, smooth patient flow, and team driven coordination of care and services.
  • Attend monthly departmental meetings with Administrator and Orthopedic Surgeons
  • Assist in scheduling patient appointments and clinical coverage, when needed.
  • Leads and/or participates in projects with Administrator for the department.
Requirements
  • Bachelor’s Degree Required
  • 2+ years of supervisory/managerial experience in a healthcare setting.
  • Familiarity with Epic EMR system.
  • Attention to detail and strong computer skills
  • Ability to derive practical solutions independently in a fast-paced environment, but can escalate patient care issues appropriately, if necessary
  • Outstanding interpersonal, customer service, communications, and organizational skills.

Familiarity with medical terminology and clinical/patient care environment.
