Jamaica Hospital Medical Center currently seeks an experienced Executive Level Administrative Assistant for a full-time opportunity in our Person-Centered Services Department.  The selected candidate will provide high-level administrative support to the Chief Quality Officer and senior department staff. 

DUTIES:

  • Managing and setting daily schedules and appointment calendars of department senior staff.
  • Scheduling, booking conference room/spaces and sending invitations for in-person meetings.
  • Creating spreadsheets, managing databases, and preparing presentations.
  • Preparing and/or editing documents including meetings minutes for accuracy and timely distribution.
  • Managing virtual meetings, videoconferences, meetings set-up, fax communications and office equipment.
  • Answering phones, triaging calls, assisting patients and families with concerns, and directing calls to appropriate departments.
  • Maintaining and performing file management and record-keeping systems.  
  • Executing and participating in patient experience-related activities and projects.
  • Maintaining office supply inventories, including managing proactive inventory levels

 

Requirements
  • Minimum High School. College degree preferred.
  • Must have 3-5 years of executive-level secretarial experience.
  • Strong interpersonal skills and the ability to establish a rapport with all levels of an organization.
  • Strong project management and customer service skills.
  • Exceptional written and verbal communication skills.
  • Ability to convey information in a manner that is easy to understand.
  • Strong organizational skills and a thoroughly demonstrated working proficiency with (Microsoft PowerPoint, Outlook, Word, and Excel).
