Jamaica Hospital Medical Center a member of the Medisys Health Network is a fully accredited community-based teaching hospital and Level I Trauma and Stroke Center. We are proud of our uncompromising commitment and approach in providing the highest levels of professional, compassionate care to the many underserved patients and residents in Queens. We are currently seeking an experienced Administrative Assistant to provide full administrative clerical support for our Safety Director and department staff.

DUTIES

  • Scheduling regulatory testing and inspection activities of fire protection systems and fire drills.
  • Maintaining and updating file management systems for records of testing and inspection activities for regulatory agencies, service agreements, purchase orders, work tickets, and invoices.
  • Maintain Logs including Employee Injuries, FDNY Permits, Violations, and Safety Hotline.
  • Managing and recording monthly Safety Committee meeting minutes.
  • Scheduling and managing the Director’s appointment calendar.
  • Maintaining Policy Medical Life Safety, Hazardous Materials and EOC policies
  • Analyze and aggregate data collected for Safety Committee including annual evaluations, management plans, performance improvement reports, employee injuries, and other areas identified for improvement.
  • Maintain EOC/Life Safety Stop Light Report Organize WebEx Safety Committee and Risk Assessment meetings
  • Assisting with Hazard Communication Program including annual training, hazardous waste, pharmaceutical waste, and hazardous vapors, Safety Data Sheets, Spill Kits, and Hazardous Material Inventory.
  • Managing front desk reception and phone areas.
Requirements
  • Must have advanced computer and word processing skills (MS Excel & PowerPoint) 
  • Must have minimum 2-3 current or recent Administrative / Secretarial experience performing similar task and duties
  • Must have good interpersonal and typing skills
  • Minimum H.S. / GED required. College degree preferred
