The office manager shall handle administrative and clerical tasks of the Department that have been delegated. His/her major responsibilities shall include scheduling of patient appointments, securing referrals (as necessary), supplying interpreted reports to referring physicians, ordering of necessary supplies (as directed by supervisor), typing, dictation, billing, record keeping of both patient and employee, assist with staff schedule, reception, and shall assist the Director and Medical Director with special projects at their request. In addition the Office Manager shall maintain supply levels, order gases and communicate requests for appointments to the Director, Associate Director, and Supervisor.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

1. Prepare daily billing reports on all patients receiving Respiratory Care Services for submission.

2. Prepare daily, monthly, quarterly, and annual statistical reports for the Director on the volume indicators for patient care.

3. Maintain records of medical gas deliveries; review, check, and code gas invoices in preparation for payment approval.

4. Maintain record of equipment maintenance and rentals; review, check and code invoices in preparation for payment approval.

5. Coordinate patient appointments with pulmonary function schedule.

6. Receive patients scheduled for a pulmonary function test, assist with their registration (e.g. receipt of proper physician order etc.) and ensure hand-off to the pulmonary technologist

7. Provide language interpretative services for pulmonary function patients

8. Ensure timely interpretation of all pulmonary function tests by pulmonologist

9. Provide interpreted reports to referring physicians

10. Complete purchase requisitions at the request of the Director.

11. Maintain record of all purchase orders, both open and closed.

12. Take dictation of memorandums, correspondence, and Department minutes for the Director, Medical Director, and the Supervisors.

13. Maintain personnel records.

14. Answer telephone, take and return messages.

15. Act as a receptionist.

16. Schedule appointments with salespersons and other persons for the Director; Associate Directors, Assistant Directors and the Supervisors.

17. Assist with related tasks as assigned i.e. projects

Requirements
KNOWLEDGE, SKILLS, EXPERIENCE REQUIRED: High School diploma. Must be able to type, take dictation, use word processing. Knowledge of medical terminology. Knowledge of business correspondence format Excellent customer service skills. Bilingual (English/Spanish) speaking preferred.
