Flushing Hospital Medical Center seeks a Human Resource Assisant to support our HR team by clearly executing our people strategy and programs as we transform the candidate and employee experience. They will work closely with the HR team to provide best-in-class encounters and support for candidates and employees. The HR Assistant will have the opportunity to own and execute projects, work cross-functionally with other team members, and improve processes to better serve the Medical Center.

Duties/Responsibilities

Support the operations of our candidate experience by assisting with different aspects of:

  • Serving as the first point of contact for employees, candidates, and visitors to HR and the OHS Department.
  • Respond to inquiries from applicants and employees relative to standard information; refer more complex questions to the Director or Associate Director
  • Scheduling pre-employment appointments
  • Assisting with schedule adjustments
  • Processing reference checks when required
  • Assisting with new hire on-boarding and orientation
  • Serving as liaison for new hires and current employees

Support the operations of our onboarding program, including:

  • Coordinating with new hires, scheduling orientations
  • Serving as a liaison for new hires and coordinating cross-functionally to ensure a seamless transition from candidate to employee
  • Collecting new hire paperwork as required when candidates are onboarding

Support the operations of our transfer process by:

  • Posting information in designated areas for each union
  • Collecting relevant transfer applicant information
  • Scheduling transfer interviews when requested by the department

Championing the employee separation process including:

  • Providing guidance for exiting employees along with required paperwork
  • Collecting and reviewing separation paperwork prior to employee leaving including ID badges, exit interviews, clearance forms, keys and uniforms
  • Distributing separation information, Record of Employment, final pay or vacation checks, and notification of separation to the unions
  • Preparing and organizing files for archives

Maintaining and updating other core HR Systems for new hires, terminations, and in-cycle changes and supporting the below administrative and clerical duties by:

  • Supporting the administrative work of the HR Director and Associate Director
  • Maintain the integrity and confidentiality of Human Resources files and records performing periodic audits of HR files to ensure that all required documents are collected and filed appropriately.
  • Process requests for Nursing School Transcripts, tuition reimbursement, and update licenses and certifications, and check requests
  • Provide clerical support to the office including mail distribution, ordering supplies, and submitting work orders.
  • Working cross-functionally with the HR Assistant by serving as the first contact for current employees, new hires, and candidates as well as answering phones and directing calls
  • Processing and tracking Tuition Reimbursement Forms, check requests and other documentation
  • Generating new ID and replacement ID cards providing security access as applicable
  • Coordinating Employee Recognition Program (GEM Award)
  • Handling the Department Evaluations Process including entry into the HRIS system and diligently following up with departments regarding completion of evaluations
  • Supporting the HR team through collaboration with other HR Specialists

Requirements

Required Skills/Abilities:

  • Excellent verbal and written communication skills. 
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Experience with Kronos and Lawson a plus or the ability to quickly learn Human Resource Information Systems (HRIS), and similar computer applications.
  • Proficiency in Microsoft Office 365 (Outlook and Excel Proficiency a must).
  • Experience creating employee ID’s a plus.
  • Experience with Cisco Webex, Zoom, and Microsoft Teams.

Education/Experience:

  • Bachelor’s Degree in Human Resources required or in a related area of study.
  • 1-2 year’s relevant experience in Human Resources.
  • Healthcare Experience a plus.

Physical Requirements:

  • Prolonged periods of sitting at a desk, answering phones, and working on a computer.
  • Must be able to lift up to 15-20 pounds at times.

Work Environment:

  • Office setting across from main hospital
  • At times will be required to go to different departments in the main hospital
