The WIC department at Jamaica Hospital Medical Center is a top tier WIC program provider. Our (4) WIC program sites offer a variety of services including nutrition education, supplemental food benefits, breastfeeding support, referral to community organizations, and education on how to sustain a healthy lifestyle. We are currently seeking an Administrative Assistant II for an immediate full-time opportunity.

RESPONSIBITIES:

  • Utilizing Kronos system to prepare payroll and maintain department attendance records. 
  • Performing overview of prospective and current WIC applicants on the NYWIC system and complete pre-screenings.                         
  • Maintaining and updating ledger of NYWIC and capital equipment purchases.
  • Coordinating, updating and managing department’s on and off site file systems.                 
  • Assist in planning and implementing outreach activities.                                  
  • Assist in the supervision of clerical staff.
  • Participate in community outreach and other promotional events.
  • Preparing type-written documents, correspondences, memos, meeting minutes, policy and procedures manuals.
  • Develop and maintain productivity logs; track data to share with supervisors.       
  • Create Excel Spreadsheets to meet the needs of the supervisory staff, promotional flyers and brochures as needed. 
  • Assess, order and distribute office supplies to all program sites/clinics.
Requirements
  • Must have a minimum 1-2 years current relevant experience working as an Administrative Assistant.
  • Associate or Bachelor’s degree preferred.
  • Must have demonstrated proficiency in utilizing MS Word, Excel and PowerPoint.
  • Critical thinking/problem-solving skills.
  • Ability/willingness to embrace a growth mindset in a rapidly changing environment.
  • Ability to adapt and thrive in a fast-paced, high-stress environment.
  • Excellent writing, reading and verbal communication skills. 
  • As per NYS WIC requirement, must be able to work some Saturdays and one late shift per week (10 am to 6:30 pm).
  • Must be bilingual (Spanish, Bengali, Hindi, or Haitian Creole).

 SALARY: $58,642.00
