Job Title: Outpatient Accounts Manager

Department: Patient Financial Services

Job Description:

The Outpatient Accounts Manager directs the Outpatient Accounts staff and Reimbursement Services, performing duties personally or through subordinates.

Supervisory Responsibilities:

Supervise three Outpatient Supervisors and all Outpatient staff.
Train employees, plan, assign, and direct work, appraise performance, and handle rewards and discipline.

Skills and Abilities:

In-depth knowledge of medical coding for ER, Outpatient Clinic, Pathology, and Ambulatory Surgery.
Stay updated on regulatory and industry billing issues.
Understand business decisions’ impact, focus on profitability, and know the market and competition.
Excellent customer service skills, manage difficult situations, and respond to patient needs promptly.
Communicate clearly with patients, staff, and other departments.
Meet deadlines and manage competing demands.
Motivate and inspire employees, develop their skills, and encourage growth.
Function as part of a Management Team, aiming for organizational goals.
Open to feedback, team success-oriented, and adaptable to change.
Proficient with practice management software and Microsoft Office Suite.
Experience with electronic medical records and patient hospital systems, such as Epic.

Essential Duties:

Develop, implement, and enforce billing and reimbursement policies and procedures.
Supervise Charge Posting, Billing, and Collection operations.
Ensure practice-wide communication and training.
Analyze and report Accounts Receivable data, advise on trends, and offer solutions.
Monitor third-party reimbursement compliance and research variances.
Maintain internal controls over Accounts Receivable.
Conduct special projects and studies.
Enforce practice policies and procedures.
Approve employee time records and time-off requests, and coordinate staff coverage.
Conduct staff meetings to discuss procedures.
Assist in negotiating insurance contracts.
Review chart documentation for accuracy before submission.
Handle patient complaints and advanced administrative appeals.
Approve refunds and invoices.
Maintain strict confidentiality regarding patients’ accounts, in compliance with HIPAA and other regulations.

Bachelor's degree in Business Administration, Healthcare Administration, or related field. Minimum of 5 years of experience in healthcare financial management. Strong knowledge of medical coding and billing. Proficiency with Microsoft Office Suite and electronic medical records systems, particularly Epic. Excellent communication, leadership, and customer service skills. Ability to meet deadlines, manage competing demands, and work effectively as part of a management team. Ability to train, supervise, and evaluate staff performance.
