The Department of Family Medicine, Ambulatory Care, and Community Medicine at Jamaica Hospital Medical Center is an integrated healthcare system dedicated to improving the health of the communities we serve.

We are currently seeking an experienced Administrative Assistant for an immediate full-time opportunity. The Assistant to the Chairman of the Department of Family Medicine and Ambulatory Care is responsible for all things related to the Chairman of the Department of Family Medicine and Ambulatory Care. Reporting directly to the Chairman and the Department Administrator, the Assistant to the Chairman will also serve as the Coordinator for the Palliative Care Fellowship Program. The selected candidate will act as the primary point of contact for the Chairman of the Department of Family Medicine & Ambulatory Care. Additional duties will include:

DUTIES:

  • Managing and maintaining a heavy calendar management system for Chairman’s internal and external meetings, conferences, seminars, and teleconferences.
  • Apprise the Chairman immediately of calendar schedule changes.
  • Managing registrations to conferences, seminars, and teleconferences.
  • Scheduling and coordinating hotel and travel itineraries,
  • Monitoring office operation requests and daily attendance.
  • Processing and tracking office purchase requests.
  • Managing and updating personnel file management system.
  • Follow up on various issues and phone calls for the Chairman.
  • Serving as a liaison with internal departments and outside parties.
  • Maintain up-to-date office files on all departments, divisions, and projects run by the Chairman.
  • Following up on various issues and phone calls for the Chairman.
  • Assisting with Performance Improvement for the Department of Ambulatory Care.
  • Work on various reports for different projects run by the Chairman.
  • Prepare supporting document packets for the Chairman’s meetings.
  • Maintaining office supply inventory.
Requirements
  • Bachelor’s degree in healthcare or related field preferred
  • Minimum 3-5 years prior experience supporting multiple senior-level executive staff.
  • Must have current/recent experience with complex calendar management for multiple executives.
  • Advanced Proficiency in Microsoft Office (Word, Excel, PowerPoint, & Outlook) required.
  • Exceptional verbal, written skills and the ability to prioritize work and perform independently.
  • Prior experience  creating Excel Pivot tables and running reports ( required).
