Flushing Hospital Medical Center is a 293-bed, not-for-profit teaching hospital. The hospital offers a variety of services for a culturally diverse community, including Bariatric Surgical Service, Ambulatory Care Center, Women’s Health Center, Wound Care Center, and Chemical Dependence Unit. Our busy on-site full-service pharmacy provides prescription services to discharged, emergency department, and clinic patients as well as employees. We are currently seeking a Office Manager in Plant Operations.

The Office Manager is responsible for managing departmental office operations, such as coordinating work requests, assisting in scheduling, documenting and following up on repair, project, and preventive maintenance work, assisting in recording and coordinating documentation for department’s regulatory activities. Also performs various clerical activities, and assists in processing payroll as required. Works closely with department managers (director, asst. director, project managers, and other department staff, etc.) to assist in the operation of the department.

Core Duties and Responsibilities:

  • Manages and coordinates Engineering Department office operations.
  • Works directly with the other Engineering managers and departmental staff, as well as hospital staff from other departments.
  • Assists in the processing of purchase requisitions, following up on payment issues with accounts payable/accounting departments.
  • Interacts and follows up with vendors in matters regarding purchasing of supplies and materials for the Engineering Department.
  • Assists engineering dispatcher and department managers in receiving calls for maintenance, repairs, and project work, and coordinating/following up on these requests.
  • May perform duties of the dispatcher in their absence.
  • Processes departmental payroll as required.
  • Maintains files and documentation of all types for the department.
  • Assists in compiling and coordinating reports related to the department’s activities, including regulatory compliance activities.
  • Operates standard office equipment such as computers, printers, scanners, and copiers.
  • Exhibits cordial and courteous demeanor to customers in office, on phone & email.
  • Performs related work as required.
Requirements
  • High School Diploma or equivalent
  • Good computer skills – experience with MS Word, Excel, and Powerpoint preferred.
  • Experience in clerical work, with some dispatching experience preferred.
  • Some experience in building maintenance and construction, or any equivalent training / experience - healthcare experience preferred.
  • Good verbal and written communication skills, must be able to deal with people courteously, even when under stress.
  • Ability to analyze situations promptly and to determine proper course of action.
